Policy on Maximum Allowed Hours of Work for Temporary Employees in Classified Job Titles

Purpose

Washington state law and university policy set limits on the amount of time a temporary employee may work. According to UW Human Resources, “Under University policy temporary hourly employees may work a maximum of 950 hours (excluding overtime) in the current 12-month period that begins with the employee’s Original Temporary Employment Date (OTED) in a temporary hourly position, or the anniversary date.” Exceptions to this limit are allowed on a case-by-case basis through the Dean’s office.

Policy

Effective immediately, no temporary hourly employee in a classified job title in the College of the Environment (CoEnv) is allowed to work more than 950 hours in the current 12-month period that begins with their OTED date, unless approved in writing by the CoEnv Director of Human Resources prior to the employee working in excess of 950 hours. Additionally, under no circumstances may any temporary hourly employee in a classified job title in the College of the Environment work more than 1,000 hours in the current 12-month period that begins with their OTED date.

Violations to this policy may result in suspension of a unit’s delegated authority to take personnel actions with regard to classified and professional non-academic staff employees.

Procedure

To request approval to allow a temporary hourly employee in a classified job title to work more than 950 (but less than 1,000 hours) in the current 12-month period that begins with their OTED date, unit Administrators should write a justification memo to the CoEnv Director of Human Resources outlining why the additional hours are necessary and how the unit will ensure the employee does not work past the maximum of 1,000 hours. This memo must be submitted and approval received prior to the affected employee working more than 950 hours. The Director of Human Resources will respond in writing and this response should be kept in the employee’s personnel file.
