Sample Letter 1

Faculty permits Dean’s Office to communicate the reason for the extension request.  The Dean’s Office will notify the Chair/Director and will copy the faculty member on this letter:

 

RE:  Tenure Review for [Candidate Name]

I am writing to inform that [Candidate Name] is expecting/adopting a child in the [Year-Year] academic year and wishes to exercise their right to a tenure clock extension.

 

Sample Letter 2

Faculty does not permit Dean’s Office to communicate reason for the extension request.  The Dean’s Office will notify the Chair/Director and will copy the faculty member on this letter:

 

RE:  Tenure Review for [Candidate Name]

Dear Chair/Director,

I am writing to inform that [Candidate Name] wishes to exercise their right to a tenure clock extension in the [Year-Year] academic year.

 

Sample Letter 3

Faculty notifies the Dean’s Office that they are expecting a baby or adopting a child, but is not requesting a tenure clock extension at this time.  The Dean’s Office will notify the Chair/Director and will copy the faculty member on this letter:

 

RE:  Decision Not to Extend the Tenure Clock for [Candidate Name]

Dear Chair/Director,

I am writing to inform you that [Candidate Name] is expecting/adopting a child in the [Year-Year] academic year. They have elected not to request a tenure clock extension at this time. In accordance with University of Washington policy, [Candidate Name] may subsequently elect to exercise the right to a tenure clock extension due to the realization of slowed work productivity arising from the birth/adoption at any time prior to the start of the academic year in which they are scheduled for mandatory review. The Dean’s Office encourages that these decisions be made as early as possible in the time leading up to tenure review, and at the most by winter quarter preceding the candidate’s scheduled year of mandatory review.

 

Sample Letter 4

The Dean’s Office must inform the Chair of the relevant Promotion & Tenure Committee within the unit, the unit Chair/Director, and the College Council of the tenure clock extension before consideration of the file.  The Dean’s Office will notify the Chair/Director(s) of Dept/School P&T Committees, the College Council, and will copy the faculty member on this letter:

 

RE:  Tenure Review for [Candidate Name]

[Candidate Name] is up for mandatory tenure review in [Year-Year].  During their interval as an Assistant Professor in [Dept/School], [Candidate Name] received [No.] one-year tenure clock extension(s) by virtue of University of Washington and College of the Environment policy.

In reviewing [Candidate Name]’s file, it is imperative that you explicitly apply granted extensions to your evaluation. Very simply, you must regard average annual production as the total record, divided by [Calculate Number] years, or the actual time interval [number] years minus the extension time of [number] year(s). Of course, in conducting a holistic review of [Candidate Name]’s file, consideration of the totality of the file, including the impact the [Candidate Name] has made in their disciplinary field, in teaching, and in all levels of service, is essential.
